# Proposals

A **Proposal** acts as a draft that shows the customer exactly which equipment is included, the duration of the hire, any additional charges and the total cost of a rental.\
\
Once the customer agrees to the terms and pricing, the **Proposal** is turned into a formal **Agreement.**

### Proposals list

The **Proposals List** is a table view for managing and tracking all the **Proposals** in **ERM**.

#### Features

Users are able to perform the following high-level actions:

* **Creation** - Creating a new Proposal
* **Tracking & Status View** - Monitor the current state of each proposal using the Status column.
* **Identification & Filtering** - Quickly identify proposals by unique Proposal Number, Customer, or Site.
* **Sorting** - Sort the list dynamically using any column header.
* **Viewing Details** - Access the full details of any individual proposal.
* **Grouping** - The drag-and-drop functionality allows users to group rows based on a specific column such as grouping all proposals by Customer or Status.
* **Clear Filters** - Clear Filters functionality allows users to remove the filters applied previously.

#### Actions

| Create New Proposal Button  | The **Create New Proposa**l Button will initiate the creation of a new proposal.                                                                                                                                                                               |

| Drag Here to Set Row Groups | This feature allows to view specific details focused on a specific header. Multiple headers can be dragged and selected to create a custom view of a more focused and detailed Proposal list set according to preferences.                                     |

#### Proposal List Details

The Proposal list has the following detailed information:

### Proposal Maintenance

#### Proposal Header

The Proposal Header captures the details for the Proposal where necessary information such as the invoicing cycle, contacts, ship to and location as established.&#x20;

The **Proposal Header Form** appers when the **Create New Proposal** button is clicked on or when user clicks the **Edit** button on it.

The information for the customers has been pre-filled from EPICOR Kinetic or based on defaults in ERM on the customer. Fields that are marked with an asterisk(\*) are required fields. Fields that are not editable from this screen will be indicated when you hover over the field. You will need to edit those values from the Customers Maintenance screen, keeping in mind this will affect all proposal and agreements for the customer.

#### Proposal Details

This section allows the user to edit and finalise the **Proposal**, Shipping Logistics, Key Points of Contact, and full Rental Specifications, including the Financial Summary, where the details on both Line Charges and Miscellaneous Charges and the total (excluding tax) of the whole booking are covered.

All the details in this page can be edited accordingly by using the **Edit** and **Add** buttons.

#### Line Charges

Line Charges are the hire charges on a **Proposal**. They list the bookings that are billed for.&#x20;

Line Charges include:

* Equipment.
* The duration of the rental.
* Quantity of days in the rental period.
* Any related misc charges

Equipment can be added to the Line either by:

* **Category** - a reservation of a type or class of equipment/asset and assigned individual equipment at a later date.
* **Individual** - a reservation of a specific equipment/asset.

The subtotal of the Line charges (including line misc charges) is displayed excluding tax.

**Booking Line Pricing**

* The duration and associated costs are defined by selecting a date range on the equipment timeline picker.
* The user is not able to add quantities to lines containing serialised equipment, however the user is able to set quantities if you book at a category level.

**Category Pricing**

* Users must select a specific category of equipment to be included in the line charge.
* This selection is performed after a date range has been established on the timeline.
* The category selection, combined with the assigned quantity, forms the basis of the line entry.

**Note: Miscellaneous Charges** can be added directly after by clicking on the **MISC CHARGES** tab.

**Best Price** - The **Best Price model** is a logic that ensures that once a rental duration is long enough to qualify for a discounted bulk rate, such as a weekly rate, it applies the rate for the longest available period to the entire booking period.&#x20;

#### Miscellaneous Charge

**Miscellaneous Charges** are the extra fees that can be added on a **Booking** or **Proposal** level. They cover costs that are not a part of the Hire Charges.

Examples of Miscellaneous Charges:

* Setup
* Takedown
* Accessibility Fee
* Cleaning fee
* Waste Disposal
* Damage waiver
* Late fee
* Cancellation fee

They are added to the total of the Line Charges to get the full amount excluding tax..

### Printing

The Print function allows users to generate a formatted hard copy or digital PDF of the current proposal. This action captures the finalised details of the agreement, including customer logistics and financial summaries, for distribution to the client or for internal record-keeping.
