# Invoicing

## Generate Invoices

The Generate Invoices is found under the Finance section in ERM. Here, it allows the user to filter, review, and process agreement invoices. Users can define a specific target date to view agreements and line items eligible for invoicing. The interface organises data into status-based tabs: Current, Overdue, and Upcoming, to streamline the billing workflow.

#### Rows

1. Expand/Collapse Control (`>`): Located to the left of the Agreement Number, this arrow indicates that the row is a "Parent" record. Clicking this would expand the row to show the individual line items nested beneath it.
2. Agreement Hyperlink: The Agreement Number is a clickable link that allows the user to drill down into the full contract details.
3. Line Item Aggregation Count: The number in parentheses next to the Agreement Number indicates how many specific billable line items are rolled up under that single agreement.
4. Date Ranges: The Start Date and End Date columns display the service period for the aggregated items.

**Top Header & Navigation Controls**

**Status**

The status tab context is based on the Invoice To date at the top of the screen.

| ------------ | --------------------------------------------------------------------------------------------------------------- |
| CURRENT      | Displays active agreements and line items eligible where the next invoice date is the selected Invoice To date. |
| OVERDUE      | Displays active agreements and line items eligible where the next invoice date is before the Invoice To date.   |
| UPCOMING     | Displays active agreements and line items eligible where the next invoice date is after the Invoice To date.    |

**Data Grid Columns**

| ---------------- | ---------------------------------------------------------------- |
| Select Row       | Allows selection of single or multiple rows for bulk processing. |
| Agreement Number | The unique reference ID for the contract.                        |
| Line Item        | Identifies the specific product or service being billed.         |
| Charge           | The monetary amount associated with the line item.               |
| Description      | A brief summary or narrative of the charge details.              |
| Start Date       | The beginning of the billing period for this specific item.      |
| End Date         | The conclusion of the billing period for this specific item.     |

This step is the final validation review after selecting the Agreements that need invoice generation. It presents a grid view of pending invoice items, allowing the user to verify agreement details, billing periods, and total amounts prior to generating the agreements.

When Generate invoices is pressed, all invoices will be generated up to the selected invoice date at the top of the screen, irrespective of the next invoice date on the invoice line

Once the invoices have been generated, they will be stored in the Invoice History section in Financing.

## Invoice History

The Invoice History screen serves as the central ledger for all billing transactions. It allows users to view, track, and manage invoices generated for various customers and agreements. The interface provides a detailed breakdown of financial data, including tax inclusions and billing periods.

| **Field**         | **Description**                                                                                                                                                     |
| ----------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Invoice Number    | The unique ID for the invoice. Clicking the ID or the icon opens the detailed invoice view in EPICOR Kinetic. The number in parentheses denotes the revision count. |
| Agreement Number  | A clickable link associating the invoice with a specific contract or agreement.                                                                                     |
| Charge            | Displays specific charge codes or types.                                                                                                                            |
| Equip Id          | Identifies specific equipment associated with the billing (currently empty in this view).                                                                           |
| Customer          | The full legal name of the billed entity.                                                                                                                           |
| Invoice Cycle     | The frequency of billing.                                                                                                                                           |
| Created Date      | The date the system generated the invoice record.                                                                                                                   |
| Invoice Period    | The specific date range covered by the invoice.                                                                                                                     |
| Next Invoice      | The scheduled date for the subsequent invoice generation.                                                                                                           |
| Total (Excl. Tax) | The subtotal amount before taxes are applied.                                                                                                                       |
| Total (Incl. Tax) | The final payable amount, including all applicable taxes.                                                                                                           |
| Currency          | The billing currency.                                                                                                                                               |

### **Features**

* Row Expansion: Each row begins with an arrow `>` icon. Clicking this allows the user to expand the row to view nested details, such as specific charges or line items associated with that invoice.
* Filtering: Funnel icons located in the column headers allow users to filter the list by specific criteria.
* Sorting: Users can click column headers to sort the data in ascending or descending order.

| Back         | Returns the user to the previous menu or dashboard.                   |
| Refresh      | Reloads the list to ensure the most recent invoice data is displayed. |
| User Profile | Located at the top right, allowing access to user account settings.   |

### Footer

Controls at the bottom of the screen manage large datasets:

* Page Size: Users can adjust the number of rows displayed per page.
* Navigation: Arrows and page numbers allow navigation through the total record set.
